Terms and conditions of use and sale
Last updated: 12 October 2026
This is a translation; only the French version of this document is legally binding.
These terms and conditions (the "Terms") govern access to the Labflo platform, available at https://www.labflo.io and published by THE DENTAL DESIGNERS, a company governed by Armenian law (the "Publisher"), and the subscription to its paid plans. They bind the Publisher and any business that creates an account (the "Customer").
Labflo is reserved for professionals: dental laboratories, dental practices and centres, and their subcontractors. The person who creates an account declares that they act on behalf of a business and are authorised to bind it. Consumer withdrawal rights do not apply.
1. Applicable documents
The relationship between the Publisher and the Customer is governed, in order of priority, by these Terms, the refund policy and the privacy policy published on the website. They prevail over the Customer's purchasing conditions.
The Customer accepts them when creating an account, and again with each subscription or plan change.
2. The service
Labflo connects the dental laboratory, its client practices and its subcontractors in a single workspace: order forms and digital files (3D scans, photos, documents), production tracking, logistics and delivery notes, invoicing in the Factur-X format and traceability of custom-made devices.
The content of each plan is described on the Pricing page of the website and in the Subscription area of the account. The Publisher develops the service; it does not remove a core feature from an ongoing paid plan without informing the Customer at least 30 days in advance. A feature presented as "coming soon" is not owed until it is available.
3. Account and users
The Customer provides accurate information and keeps it up to date (company name, SIRET, address, billing e-mail). It appoints its users, grants them rights and is responsible for their use of the service.
Credentials are personal and confidential. The Customer informs the Publisher without delay of any unauthorised use of its account.
4. Plans and prices
Only laboratories subscribe to a paid plan. Dental practices and centres use Labflo free of charge; a subcontractor that is itself a laboratory has the Free plan.
Plans offered to laboratories, monthly prices excluding tax:
- Free: €0, unlimited users and clients, 5 GB of storage;
- Starter: €49 excl. tax, 50 GB of storage, invoicing and payments, traceability;
- Pro: €99 excl. tax, 200 GB of storage, production, stock, statistics and translation;
- Premium: €199 excl. tax, once it opens for subscription;
- "MDR archiving 10 years" add-on: €15 excl. tax, on Starter and Pro (included in Premium).
VAT or the applicable local tax is added according to the Customer's country. The price applied is the one displayed at the time of subscription. The Publisher may change its prices: the Customer is informed at least 30 days before they apply, which happens at the next renewal; the Customer may cancel before that date.
"Founders' Circle" offer: a laboratory that subscribes to Starter or Pro during the launch offer gets 3 months free; its price is then kept as long as its subscription is not cancelled, as an exception to the previous paragraph.
5. Ordering and payment
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders: it collects the payment, issues the invoice, applies the tax and handles requests relating to payments and refunds. The purchase is also subject to Paddle's buyer terms.
The subscription is paid monthly in advance, using the payment method registered with Paddle. It renews every month until it is cancelled.
If a payment fails, Paddle reminds the Customer. If the payment does not go through, the subscription is cancelled and the account returns to the Free plan; its data is kept within the limits of that plan (article 7).
6. Term, plan changes and cancellation
Plans have no minimum term. The Customer changes plan from its Subscription area: the change is immediate and Paddle prorates the amount over the current period.
The Customer may cancel at any time from its Subscription area. Cancellation takes effect at the end of the period already paid; the Customer keeps access to its plan until that date. The current period is only refunded in the cases provided for in the refund policy.
The Publisher may suspend or close an account in the event of a serious breach of these Terms, after a formal notice that has remained without effect for 15 days, or immediately if the security of the service or of third parties is at stake.
7. Customer data and file retention
The Customer remains the owner of the data it uploads. It grants the Publisher the right to host and process that data only to the extent necessary for the service.
Files uploaded to an order form (3D scans, photos, documents) are kept, after the case is shipped or cancelled, for at least a period that depends on the laboratory's plan: 30 days on Free, 1 year on Starter, 3 years on Pro, 10 years on Premium or with the MDR archiving add-on. After a plan change, files remain for at least 30 days. The laboratory is warned before any deletion and may ask to keep a case. Documents (order forms, delivery notes, invoices) are not affected by this deletion.
During its subscription, the Customer can download its documents, invoices and accounting exports at any time. After moving to the Free plan or cancelling, its data is kept; its invoices, delivery notes and accounting exports are provided on request at info@labflo.io and become accessible again if it subscribes again. Each user can delete their account from "My account"; the last administrator of a company first appoints a successor, and any ongoing subscription must have been cancelled. Deletion of the company is requested by e-mail to info@labflo.io.
8. Customer obligations
The Customer uses Labflo lawfully and for its professional purpose. In particular, it shall not:
- upload unlawful content or malicious files;
- attempt to access another company's data or compromise the security of the service;
- copy, decompile or resell the service;
- enter patient data beyond what is needed to manufacture and trace the devices.
The Customer remains solely responsible for prescriptions, for the conformity of the devices it manufactures (including Regulation (EU) 2017/745) and for the content of its invoices. Labflo provides tools; it checks neither prescriptions nor tax particulars.
9. Electronic invoicing
At the laboratory's request, Labflo sends its invoices and receives those of its suppliers through a registered partner e-invoicing platform. Activation registers the laboratory in the e-invoicing directory under its SIREN number.
The Customer checks the information on its invoices (identifiers, VAT, mandatory particulars) before issuing them. The Publisher is not liable for a rejection caused by inaccurate or incomplete information.
10. Personal data
The Publisher processes the data of its customers and users as data controller, as set out in the privacy policy.
For the data the Customer processes using Labflo (patients, practitioners, contacts of its partners), the Customer is the data controller and the Publisher acts as processor within the meaning of Article 28 GDPR. As such, the Publisher:
- processes this data only to provide the service and on the Customer's documented instructions, which consist of these Terms and the use of the service;
- ensures the confidentiality of the persons authorised to access it;
- implements the security measures described in the privacy policy;
- only uses the sub-processors listed in the privacy policy, informs the Customer of any change, and the Customer may object by cancelling;
- helps the Customer respond to requests from data subjects and fulfil its security and impact-assessment obligations;
- notifies the Customer of any personal data breach as soon as possible after becoming aware of it;
- deletes the data at the end of the contract, after allowing the Customer to retrieve it, unless the law requires it to be kept;
- makes available to the Customer the information needed to demonstrate compliance with these obligations.
Order forms may contain health data. The Customer undertakes to have a legal basis for processing it and to inform the patients concerned.
11. Availability and support
The Publisher endeavours to keep the service available at all times, without guaranteeing it: it may interrupt it for maintenance, where possible outside business hours and after informing users.
Support answers by e-mail at info@labflo.io. Its level depends on the plan: community on Free, standard on Starter, priority on Pro, dedicated on Premium.
12. Intellectual property
The Labflo software, its interface, trademarks and content belong to the Publisher. For the lifetime of its account, the Customer receives a personal, non-exclusive and non-transferable right of use, limited to its professional needs.
13. Liability
The Publisher has an obligation of means. It is not liable for indirect damage (loss of revenue, customers or reputation), nor for damage caused by misuse of the service, by telecommunication networks or by force majeure.
Except in the event of gross negligence or wilful misconduct, the Publisher's total liability is limited to the amounts paid by the Customer for the service during the twelve months preceding the event giving rise to liability.
14. Changes to the Terms
The Publisher may change these Terms. The Customer is informed by e-mail or in the application at least 30 days before a change that is unfavourable to it takes effect; if it refuses the change, it may cancel before that date. Continued use after that date constitutes acceptance.
15. Governing law and disputes
These Terms are governed by Armenian law. The parties first seek an amicable solution. Failing that, any dispute falls within the jurisdiction of the competent courts of Yerevan (Armenia).
